Is there a way to automatically close a purchase order (PO) once it is fully invoiced and reconciled?
The Application.Procure.AutoCloseFullyReconciledOrders parameter can be set by Ariba Customer Support to update the close order status of a PO once an order is fully reconciled. The parameter can take one of three different values:
- DoNotAutoClose - Orders do not automatically close after they have been fully invoiced and reconciled.
- AutoCloseForAll - Orders automatically close for all operations after they are fully invoiced and reconciled.
- AutoCloseForInvoicing - Orders automatically close for invoicing after they are fully invoiced and reconciled.
The default parameter value is DoNotAutoClose.
An order will be considered fully invoiced and reconciled based on the following:
- A line item with quantity-based receiving is considered fully invoiced and reconciled if the invoiced and reconciled quantity is greater than or equal to the PO line item's quantity.
- A line item with amount-based receiving is considered fully invoiced and reconciled if the invoiced and reconciled amount is greater than or equal to the PO line item's amount.
- When all PO line items are considered fully invoiced and reconciled, then the order itself will be considered fully invoiced and reconciled, and will proceed to automatically close.
- To close any backdated orders that were fully invoiced and reconciled prior to setting the AutoCloseFullyReconciledOrders parameter, the Auto Close Fully Reconciled PO scheduled task can be manually run by Ariba Customer Support.
- This functionality does not support reopening the order if the invoice is canceled by the supplier, force rejected, or a credit memo is created. Reopening the order after the automatic closure can only be done manually.
- When Line item price is zero it will be considered as an invoiced and reconciled line item.
