Why is a contract closing as over limit?


Cause

A contract may get closed over limit for any of the below reasons:

  1. If the Amount Available on the contract Summary (header) has been exhausted. If a closure like this occurs, the History tab of the contract and the contract workspace indicates time stamp of the limit/amount being reached shown against the Contract is closed over limit message.
  2. The Used Quantity/Used Amount exceeded the Maximum Quantity/Maximum Amount on the Pricing Terms. To correct this, amend the contract workspace and update the contract terms to adjust the Maximum Quantity/Amount. Once done, the workspace and terms can be published and the contract can move forward.
  3. There may be some Amount Available shown but still the contract may get closed. This may happen in scenarios when currency of Maximum Amount is different from Contract's currency. For example lets assume a contract was created in the past with Maximum Amount = 100,000 CUR1 and Contract's currency is CUR2. At the time when contract is created, 1 CUR1 = 50 CUR2. As of today the conversion rate is 1 CUR1 = 100 CUR2. If we create a transaction against the contract worth 7,500,000 CUR2, then as of contract's creation date it's value in CUR1 is 7,500,000/50=150,000CUR1 (greater than 100,000 CUR1) and as of current date it's value is 7,500,000/100 = 75,000 CUR1 (less than 100,000 CUR1). Given that the transaction's value is greater than the max limit considering the conversion rate as of the contract's creation date, the contract closes. The converted value of the Maximum Amount as of contract's creation date is not shown in the UI but stored internally. You may please create a case for SAP Support if you would like to know the value.

Resolution

A couple of alternatives can be considered:

  1. Amend the contract and increase the maximum limit. To set an unlimited amount or quantity, erase all values from the Max Amount field and leave it blank. Do not use '0', this will result in an automatic closure.
  2. Stop a contract from closing once it reaches it's limit by enabling the functionality discussed here: When the funds on a contract compliance document are fully used up, the contract closes automatically.
