What are the differences in team requisitioning between guided buying and SAP Ariba Buying?
Guided buying teams and SAP Ariba Buying teams are completely separate functionalities that have different implementations. While both applications share the Is Team Requisition and Is Team Received fields that you can use for approval rule, customization, and reporting purposes, where the team information is stored and how it works is distinct in each application.
The following list summarizes the differences:
- Guided buying teams are stored in the guided buying database as separate team objects and are not accessible in team management in SAP Ariba Buying. SAP Ariba Buying stores team members in user profiles.
- Team buying is enabled by default in guided buying but requires enablement steps in SAP Ariba Buying.
- In guided buying, users can be part of multiple teams and can choose to buy on behalf of a different defined teams with each purchase. SAP Ariba Buying allows users to be linked to multiple other users but without separate team definitions.
- In guided buying, the requisition preparer is the person who initiates the requisition, and the On Behalf Of user is always set to the team owner; these fields are non-editable. In SAP Ariba Buying, the preparer and the On Behalf Of user are reassigned to the person currently working on the requisition.
- In SAP Ariba Buying, team members must search for and access the requisition, then click Take Over at the top of the requisition to work on it. In guided buying, team members go to Your requests and use the Team requests filter to find and access the requisition, then click Edit to work on it.
- Guided buying team members are assigned distinct roles (owner, contributor, viewer), while SAP Ariba Buying team members are simply contributors.
- Guided buying allows users to opt-in to automatic team buying for each new shopping session. SAP Ariba Buying requires users to explicitly mark new requisitions as team requisitions.
- SAP Ariba Buying leverages the IsShared and IsTeamReceived fields by default, setting them to Yes (true) when team requisition or team receiving applies for a requisition. To leverage these fields in guided buying, you must have both the TeamShoppingCart feature toggle and the Application.Common.AllowTeamShopping parameter enabled in SAP Ariba Buying to make the fields visible at the requisition header in guided buying. Otherwise, the value will always be No (false) for these fields for guided buying requisitions.
