What's the difference between Line Level & Header Level Comments and Attachments?

I noticed that there's an option to add comments and/or attachments on header level and line level on a Requisition, are they different? And how?

Answer

These two options can offer different possibilities to Ariba users, to understand this, here's a simplified scenario:

  1. Requisition PR123 is created with 3 line items for 3 different suppliers.
  2. The Requisition will split into 3 Orders, each Order is going to a different supplier.
  3. The Orders are: PO123-1, PO123-2, & PO123-3 (in accordance with the line numbers).
  4. Changing the Requisition, I would like to do the following:
    • Change item description on PO123-1 and add a reason in a comment to that supplier.
    • Increase the quantity as per an agreement with the supplier on PO123-2 and attach the agreement email.
    • Send all suppliers some information that is not specific to one of them but for PR123.
  5. To do that, we can use the distinct difference in functionality between line level and header level comments & attachment on the Requisition:
    • For PO123-1, we can add the comment on the line item, make it visible to suppliers.
    • For PO123-2, we can add the attachment on the line item, make it visible to suppliers.
    • No changes on line items 3 nor PO123-3 (till now).
    • Add a comment on PR123 header, which will be included on all the Order of the Requisition.

Sometimes updating the Requisition with a comment that is specific to one supplier and other supplier receive it can be confusing, so it's best to update the line item instead.

Same goes for Attachments.

Additional Information

Please note that header level comments and attachments will be sent out on all the Orders for one Requisition. That is irrelevant of whether the change was done on the Order or the Requisition.

From the Above example, if you Change PO123-3 and add a comment, then PR123, PO123-2, & PO123-1 will all have the comment added at the header level as well.

It is important to have the comments on the line level if you need them to go to a specific supplier only, when made visible to supplier.
