How do I set up the User Matrix to assign commodity and region assignments to users in SLP?
In SLP, there is the ability to associate users to specific commodity, region and department values, so that when those values are selected for specific suppliers, the matrix pulls in the users into project groups of those supplier projects.
These users will then be the approvers of the tasks of projects with these commodity/region/department combinations.
You can think of the User Matrix as a global team member rules file because it spans across all templates and project groups that chose to reference the matrix file.
There are nine columns in the file:
- commodityCodeDomain - The domain of the commodity code; for example, unspsc or custom.
- commodityCode - The code for the commodity to which the user is assigned.
- region - The region to which the user is assigned.
- businessUnit - The code for the department to which the user is assigned.
- userName - The user's username.
- groupUniqueName - System level group to be added to the project.
- projectGroup - The name of the project group to which the user is assigned.
- passwordAdapter - For users only.
- Active - whether the rule is active or not.
To load the user matrix file, please do the following:
- Go to Manage > SM Administration.
- Click the Data import or export tab.
- Switch the File type to User Matrix.
- Click Choose File, Browse for your file and Click Upload.
To have a template project group reference the user matrix file that was imported, please do the following:
- Go to Manage > Templates.
- Open the template to be edited, and ensure the template is in Draft status.
- Go to the Team tab, then click Actions > Edit.
- Click the group name.
- Switch Use commodity and region assignments to Yes.
- The assignments use a top-down approach; if the user is set up for the North America region, they will get pulled in for California and San Diego as well.
- If you assign a user to a project group, that project group must exist on the template. The user matrix will not create a project group.
- If a user needs to be assigned to multiple regions or commodities, they must have a separate row for each assignment. To end an assignment for a user, you must update the active field to FALSE.
- The values provided in the user matrix are case sensitive and must reflect the exact same values that exist in the commodity/region/department export file.
