Can I set up a task or phase to start automatically upon completion of a predecessor task?
Yes, you can have a task or phase to start automatically upon completion of a predecessor task. This can be achieved using the task rule, Start When Dependencies Complete. This rule becomes available once you select a predecessor to the task.
You can enable this rule on a task by performing the following steps:
- Go to Tasks tab of the project, workspace or template where you would like a task to be started automatically
- Create a new task or edit an existing task you would like to start automatically
- Choose a task to populate the Predecessors field
- Click the checkbox to enable Start When Dependencies Complete
- Finish filling out the rest of the task details and click OK
For task automation to work correctly, you may have to consider the following two prerequisites:
- All Approvers, Reviewers, Signers etc. must have values populated in the task to be started automatically.
- All documents associated to the task to be started automatically must be in a Draft or Published status (for Signature task, the document must be in Published status) .
This feature also introduces the below notifications which are sent when a phase or task is auto-started or cannot be auto-started by the system:
- Sent to the project owner when a phase cannot be started even though its predecessors have been completed
- Sent to the project owner when a phase has been started because its predecessors have been completed
- Sent to the task owner when a task cannot be started even though its predecessors have been completed
- Sent to the task owner when a task has been started because its predecessors have been completed
The templates for these notifications can be customized by site administrators within Manage > Administration > Project Manager > Project Email Templates.
