How do I send invitation to suppliers in bulk?

You can send an invitation to suppliers in bulk using the Import Supplier Users task. The IsEmailInviteNeeded flag determines if the invitation to the supplier is to be sent or not. The IsEmailInviteNeeded flag is part of the enhancement carried out to the supplier import process.

IsEmailInviteNeeded is an optional flag that is added to the RealmEnablementSheet, which can be turned ON if the respective supplier needs an email invitation when they are imported to the system. The IsEmailInviteNeeded flag can be excluded as a header field in the Import file, and it does not impact the import process.

The flag considers an integer value as described:

• 0 = Do Not Send Invite
• 1 = Send Invite
• 2 = Force Send Invite (Enforce Password Reset)

Note: If an invite is already sent to a supplier user, the system does not send an invite again if the IsEmailInviteNeeded flag value is " 1". If new invite should be sent to supplier users who were already sent an invite, the IsEmailInviteNeeded flag value needs to be "2".

This option can be used to send an invitation to newly created suppliers as well as the existing suppliers in the application.

Steps to send invitations to supplier users during supplier creation:

1. Log in to the Spend Management application.
2. Manage > Administration > Site Manager > Data Import/Export.
3. Navigate to the Import tab.
4. Search for Import Supplier and Customer Organizations task.
5. Click Import.
6. Select Import operation as Load.
7. Choose the file that needs to be uploaded (RealmEnablementSheet.xls).
8. Click Run.
9. Search for Import Supplier Users task.
10. Click Import.
11. Select Import operation as Load.
12. Choose the same file that was uploaded earlier (RealmEnablementSheet.xls).
13. Click Run.

Steps to send invitations to existing supplier users:

• Log in to the Spend Management application.
• Manage > Administration > Site Manager > Data Import/Export.
• Navigate to Import tab.
• Search for Import Supplier Users task.
• Click Import.
• Select Import operation as Load.
• In RealmEnablementSheet, set IsEmailInviteNeeded to "1" for whom the invitation was never generated earlier, and set IsEmailInviteNeeded to "2" for those to whom the the invitation was already sent.
• Choose the file to be uploaded (RealmEnablementSheet.xls).
• Click Run.
