How does the automatic Purchase Order (PO) close process work?

The inactivity period on a PO determines when automatic PO closure triggers. You can perform automatic PO closure by setting the ConfigureDaysOfNonActivityToClosePO parameter, which triggers the Process Orders To Close scheduled task.

This scheduled task searches for all orders that are closable and are not closed for all actions that have been inactive for the number of days specified in the ConfigureDaysOfNonActivityToClosePO parameter and processes them for closure. This means that the Orders will be Closed for All Actions.

For example, if the parameter value has been specified as 365 days, running the scheduled task on February 14, 2016 causes the task to search for all orders that have been inactive since February 14, 2015 and select them for closure.

This scheduled task is run once every day at 3:00 AM PDT.

• POs closed in the automated closure process behave the same way the as the POs closed manually.
• There are only two methods to mass close POs:
  • Manually, by selecting the POs on the user interface (UI) and doing the mass closure.
  • Automatically, from the scheduled task based on the period of inactivity.
  • Refer to Automatic and manual closure of bulk purchase orders.
• For more information about how to configure this functionality:
  • Configure number of days for closure of inactive purchase orders
• If any changes are made to the invoice, receipt, or payment pertaining to a PO, the activity date on that PO will change.
• Adding a comment or attachment to the PO will also effect the activity date.
• All Closable POs will be closed with this process, to check:
  • Verify that the Order can be closed from the UI manually.
  • Verify that the Order can be Closed for All Actions.
• The Schedule Task will run up to 10,000 on one run.
