How does budget check functionality work?
The following information answers some of the most common questions about budget check functionality:
Budget checks and non-purchase order (non-PO) invoices
- Budget checking does not happen against non-purchase order invoices.
- It is expected that non-PO invoicing be loaded back to Ariba Procure-to-Pay (P2P) from the buyer's Enterprise Resource Planning (ERP) as adjustment.
- The system does not automatically correct non-PO invoices. Instead, buyers must modify the actual allocation amount or load the Adjustment.csv file.
Default rules for budget checks
- Approval rules are not enabled by default for budget checks. You must build them, but they are built using predefined conditions.
- Budget check functionality does not re-release funds from credit memos.
- You can configure approval rules to trigger when the budget is exceeded (Budget Check has Failed), or when the budget is getting close to the limit (Budget Approaching Limit). These are predefined conditions. The other option is to prevent the user from submitting the Requisition altogether when the Budget Check Fails.
- You cannot customize the default messaging when a budget is exceeded, but users in the Budget User group can see the full details of the budget.
