What are the requirements for importing or exporting accounting information on documents?

The ability to import and export accounting distributions is disabled by default. Work with one of your company DSCs (Designated Support Contacts) to have the following parameters updated in Intelligent Configuration Manager:

• Application.Procure.AllowAccountingExportAndImport
• Application.Approvable.AllowSplitAccounting

Additionally, your site cannot be customized to make any accounting fields completely non-editable. For example, users who will be importing accounting to approvable documents must be able to edit all accounting fields in the site. If only members of the Customer Administrator group will be importing accounting, Ariba Customer Support can customize the editability of the Account field to allow only the Customer Administrator to edit the Account field. In this scenario, if a user not belonging to the Customer Administrator group attempts to import accounting, the user will receive the following error message:

The value of Account is not acceptable.

Importing and exporting accounting distributions provides faster requisition and invoice accounting entry for transactions with complex accounting distributions:

• Export the distribution line or lines to a spreadsheet for one or more selected lines. The exported fields include accounting data (standard and custom fields) and amounts.
• Copy each line in the spreadsheet, create one or more split distribution lines, and apply the appropriate Microsoft Excel formulas to allocate the amount.
• Re-import the edited distribution lines.
• Validate accounting data (standard and custom fields) and related accounting combinations.
• Import or export up to 500 distribution lines per transaction.
