What is a user license and how can I export a user license report and check the license usage limit?
The user license refers to the number of users and project owners allowed in your site by your contract with Ariba.
In this context, a user represents an individual employee or contractor who is provided with access to perform activities in your site. An administrator is not a user, unless that individual also performs the functions available to users.
Follow the below steps to get a report on users:
- Go to Manage > Prepackaged Reports.
- Select System and Benchmark Usage Reports, and click Open.
- Select System Usage Reports, and click Open.
- Expand the Sourcing Usage Reports or Contract Usage Reports section.
- Select Sourcing – User Names and Permissions or Contracts – User Names and Permissions (depending on the section), and click Open.
- Click Export to view the report in Microsoft Excel.
- Save and open the file.
This file contains user names, permissions, and users with group assignments that count toward the user licenses for each of the Ariba Strategic Sourcing and Contract Management Solutions. To review users in each solution, filter the following fields:
- For Sourcing users: Filter Yes values in the Sourcing User column.
- For Contracts users: Filter Yes values in the Contracts User column.
Follow the below steps to get a report on project owners:
- Go to Manage > Prepackaged Reports.
- Select System and Benchmark Usage Reports, and click Open.
- Select System Usage Reports, and click Open.
- Expand the Contract Usage Reports section and select All Contract Workspaces.
- Click Edit to modify the report criteria.
- Choose 12 months for the Relative date range.
- Click Done.
To review contract chargeable users as a project owner, export the report to Microsoft Excel and filter unique values by the All Owners > User column.
You can review these numbers and compare them to your usage limits outlined on your order form. SAP employees do not count against your contractual license limits, but third-party consultants do count toward the user license number.
A project owner represents an individual for whom one of the following is true:
- Listed as owner on the Overview tab of a project
- Included in the list of individuals in the Project Owner group on the Team tab
- Included in a project group (as an individual or as a member of another group), where the project group is assigned the Project Owner role.
