Escalate Approvables: How often does the task send the reminder email what governs its frequency?
Have some questions regarding Escalate Approvables:
- Does the task send the reminder mail everyday after it reaches the warning period or does it send it only once?
- If the task sends repeated mails, is there a parameter to send it, say every four days rather than on every day?
- Does the notification sent from the task respect the users' notification preference, or does it go to the users anyway?
It depends. If the ApprovalRequestEscalateWarningPeriod parameter is set to a value other than "0", then, the approver receives notification based on that value. If this value is "0", and EscalateWarningPeriod parameter is set to some value in the EscalateApprovables ScheduledTask, then, the approver receives a notification after the warning period is complete.
- Does the task send the reminder email every day after it reaches the warning period or does it send it only once?
The notification emails are received based on the settings.
- The EscalateWarningPeriod parameter in the ScheduledTasks.table determines the warning period.
The EscalateApprovables scheduled task sends a notification message to an approver when a request is about escalate to his or her immediate supervisor because the approver did not approve it within the configured timeout period.
You can adjust the amount of time that a request can wait for approval before this notification message is sent by modifying the EscalateWarningPeriod parameter in the EscalateApprovables scheduled task definition.
The default value of this parameter is "7". Thus, if there is no action on the approvable for seven days, then the approver will receive an email notification. - If the value of the ApprovalRequestEscalateWarningPeriod parameter is set to "1: in the Parameters.table, then, the approver receives notification emails every day.
Note: Parameters.table parameters are overridden if they have the default value of "0", and scheduled task parameters are used instead.
For Example: If you set the notification parameters, that is, EscalateWarningPeriod to "8" in the ScheduledTasks.table and the ApprovalRequestEscalateWarningPeriod parameter in the Parameters.table is set to "0.0", then, the approver receives the notification email after eight days (if there is no action on the request for eight days). This escalation warning notification is received only once.

- Send once - this option continues to send individual emails daily until the approver takes action.
- Send repeatedly - this option sends an individual email once and then continues sending the emails as part of the daily consolidated email until the approver takes action.
- If the task sends repeated emails, is there a parameter to send it, say every four days rather than every day?
- This is currently not possible. If the requirement is to have a notification sent for the warning and then x days after, an Improvement Request will need to be logged.
- Does the notification sent from the task respect the users notification preference, or does it go to the users anyway?
- The notification of approaching escalation does respect the user’s notification preference.
For example, if you set the notification preference of the user as a summary email, the escalation warning notification received has that format irrespective of the number of times the user receives the notification.
Note: Requests are not escalated if the approver has the NoEscalation permission, or if the approver is a role or group. Requests are escalated only to specific users.
