This API makes it possible for external systems to update the status of externally managed forms in guided buying. If you use the "Support for externally managed forms" feature, you must use this API.
Customers today cannot fully connect data between Guided Buying and an external system. Currently only simple URL links are available. This requires end users to complete processes connected to the buying experience in multiple different systems.
Customers also could not easily send form data via API directly into an external system for processing and update the form with data from the external system, namely external system status and external reference or ID.
Capture information residing in Guided Buying forms and send it via APIs to external systems.
External systems will be able to update the form in Guided Buying with external status and external reference or ID..
This capability allows Guided Buying to become a repository of business-specific forms used by your organization, and facilitates buying-connected experiences to be completed by end users without leaving the Guided Buying experience. Common use cases involve external ticketing systems, budget approval systems, and contract management systems.

- You must create an outbound API to send form data from guided buying to your client application. For more information, see How to create and publish an outbound API.
- In order to create an application and request access to use the SAP Ariba APIs relevant to this feature, you must have access to the SAP Ariba
developer portal. For details see “Steps to begin using the SAP Ariba APIs” in the help for The SAP Ariba Developer Portal. - All queries made to this API must be authenticated using OAuth authentication. For details see “Developer Portal Authentication” in the help for The SAP Ariba Developer Portal.
- To get complete form field values, your client application must call the Custom Forms API after receiving an outbound API call. Custom field values are available only through the Custom Forms API. For more information, see the Custom Forms API documentation on The SAP Ariba Developer Portal.
- Guided buying must be configured to support externally managed forms. For more information, see GB-8776: Support for externally managed forms.
Your client application must call the outbound API before calling the Guided Buying Functional Documents API; the outbound API provides data required by the inbound API.
