How do you build a chain rule to add an approver's supervisor to a task's approval flow?


Resolution

First, configure the approval flow's supervisor rule:

  1. Open the approval flow editor as described in Creating or Editing Approval Rules.
  2. (Optional) Define a condition for the supervisor rule. If you always want the supervisor rule applied, you can use the default condition All Are True. Otherwise, you can define a condition, such as a condition that only adds a supervisor if the Contract Amount is above a value you specify.
  3. Go to the Action area.
  4. Select Add Approvers and Groups.
  5. In the Action drop-down menu, select Add Supervisor.
  6. Go to the Parameters area.
  7. In the Add supervisor of field, select the project field that specifies the user whose supervisor will be added to the approval flow. The default is the Owner field (the supervisor of the user in the Owner field is added to the approval flow.)
    To select a different project field, click the select field link. A chooser opens and displays any other project fields that can specify a user, including custom fields. Custom fields are shown with the prefix cus_ (for example, cus_Requester). Choose the appropriate field.
  8. By default, the supervisor will be a required approver. You can make the supervisor an optional approver, by clearing the Approval required checkbox.
  9. Specify the reason for this rule in the Reason text box.

Next, configure the chain rule.

  1. If you want to create a chain rule to repeatedly add supervisors, go to the upper right corner of the Approval Rule Editor box and click Action > Chain this rule.
    A Base Rule and a Chain Rule tab are created.
  2. On the Chain Rule tab, go to the Condition area and create a condition that specifies when to repeat the action to add the supervisor of an approver. If you do not create a condition, the default condition All Are True is used and the supervisor rule will be repeated until a user with no supervisor is added as an approver.

Then, use the following procedure to configure a custom chain rule condition:

  1. Click the triangle next to All Are True. Choose Add Condition > Reference to Condition.
  2. The approval flow editor opens a condition selector.
  3. Click Create Condition.
  4. The approval flow editor opens a Create Condition window. Enter a name for the condition.
  5. Click the triangle next to the subcondition type name, such as the triangle next to an All Are True. Choose Add Condition > Field Match.
  6. To the right of (No Field Selected), click Select and choose Select Other Field > more fields.
  7. In the Select Field pane, navigate to the Type to Browse area. To specify a project field value in the condition, select the appropriate workspace type, such as Contract Workspace (Procurement). To specify a user field in the condition, select User.
  8. Click Select next to the project or user field you want to use. For example, the workspace field Contract Amount.
  9. To create a condition that compares two field values, select the appropriate operator, such as is greater than.
    1. Select a field value to use for the field value comparison by clicking Select > Select Field next to (No Value Selected).
    2. In the Select Field pane, navigate to the Type to Browse area and select the appropriate type (User or workspace type). Click Select next to the project or user field you want to use. For example, the user field FinancialLimit.
    3. Click Done.
      The Create Condition window displays the condition.
  10. Click OK to exit the Create Condition window.

Finally, complete the task approval flow configuration:

  1. Click OK to exit the Reference to Condition dialog box.
  2. Navigate to the Action area of the chain rule. The only option available for the Action field is Add Supervisor of Approver.
  3. By default, the supervisor will be a required approver. You can make the supervisor an optional approver, by clearing the Approval required checkbox.
  4. Specify the reason for this rule in the Reason text box.
  5. Click Done to exit the approval flow editor.

You build a chain rule condition from the custom approval flow menu, not from a template's Conditions tab.
